The Challenge

Smart Gate Systems sells, installs, and maintains security gate automation and camera systems. The product is technical. The sales cycle is relationship-driven. And the work doesn't end at installation — it continues through service contracts, maintenance visits, and ongoing client support.

Running all of that across disconnected tools meant things fell through the gaps. Quotes that didn't convert to orders cleanly. Installation jobs with no visibility into status. Service contracts that weren't being followed up. The business was growing — but the operation underneath wasn't keeping pace.

Where We Started

Before touching the system, we mapped the full lifecycle of a Smart Gate client — from first enquiry to signed contract, through installation, and into post-sale service. Each stage had its own data, its own team, and its own handoff point. The ERP had to connect all of them without adding friction to the people doing the work.

Sales to Installation — One Unbroken Flow

We built the CRM and sales pipeline first. Every lead tracked, every quote versioned, and every signed deal flowing directly into an installation project — no manual re-entry, no information lost between the sales team and the field team.

From the moment a contract is signed, the installation team sees exactly what was sold, what was promised, and what needs to be delivered. The gap between sales and operations — where most service businesses lose time and credibility — was closed.

We configured Odoo's project management around Smart Gate's field workflow — tasks assigned, timelines tracked, and material requirements linked directly to inventory.

No more calls to the warehouse to check stock. No more surprises on installation day.

Service Contracts — Nothing Expires Unnoticed

After installation comes the relationship that pays for itself over time. Smart Gate's maintenance contracts and service agreements are now managed inside the system — renewal dates tracked, visit schedules automated, and client history accessible in one place.

When a client calls about a camera that needs servicing, the team knows exactly what was installed, when it was last visited, and what the contract covers. Before the call ends.
